New in Razuna: Smart Views - create custom views and share them with your team
You find the right files, narrow the results, and send a teammate the instructions. Next week, you do it again.
Smart Views gives that search a permanent home in Razuna. Create a custom view of your assets, save the rules that define it, and share it with the people who need it. Your team gets a place to return to without rebuilding the same search or rearranging the library.
What are Smart Views?
A Smart View is a saved, rule-based view of files in Razuna. You choose where it looks, set search criteria and filters, and give it a name. The results come from the files that match those rules.
If you followed the feature request for Smart Folders, this is that idea, released as Smart Views. Your files stay in their existing folders. A view brings matching assets together without making another copy or asking you to maintain another folder.
That makes Smart Views a useful addition to your file organization workflow: folders hold the structure, while views give people different ways into the same library.
Build a view around the work you do
Start with a search term, filters, or both. You can combine conditions with AND and OR, use custom fields, and choose a default sort order.
For example, a campaign view could require a campaign custom field to match "Autumn launch" AND a label to match "Approved". If your team stores approval information in a custom field instead, build the rule around that field. The view follows the information you already use to organize your assets.
The Source tab lets you choose the workspaces and folders to include. Keep a view focused on one project folder, or bring together matching files across selected workspaces.

Three views worth trying
Approved campaign assets
Combine your campaign field with the label or custom field your team uses for approval. Share the view with the people preparing the launch, so they can find matching assets across the folders you selected.
A client's image library
Select the relevant client workspaces or folders and filter for images. Designers get a focused place to browse, even when source files are organized by project or shoot.
A metadata review queue
If you track review status in a custom field, create a view for files marked "Needs review". As your team updates that field, the matching set changes. You can return to the queue without repeating the search.
Consistent labels and custom fields make these views more useful. Upload templates can apply that information as files arrive, giving your team a shared starting point for its filters.
Share the view with your team
Choose specific users or teams in the Share tab. Give people view-only access when they need to use the saved view, or view-and-edit access when they should also be able to adjust its definition.
Sharing a Smart View does not grant extra access to the underlying files. Existing workspace and folder permissions still apply, so a teammate's results can differ from yours. A view is a shared way to find files, not a shortcut around access controls.
Create your first Smart View
- Open Razuna and click the plus icon beside Smart views in the sidebar.
- Give it a useful name, such as "Autumn launch assets".
- Add your search criteria and filters in the Info tab, then choose the default sort.
- Use Source to choose the workspaces and folders it should search.
- Use Share to select the users or teams who should have access, then save.
Start with a search your team repeats often. Save it as a view, share it with one teammate, and make it part of your next project.
Open Razuna and create a Smart View. For more ways to organize and find your assets, see Razuna's file management features.
